LANEDOCKET
Privacy Policy
Effective August 26, 2026
This policy describes how LaneDocket (“we,” “us”) handles information in the LaneDocket web app at lanedocket.com. LaneDocket is a freight invoicing desk for carriers and owner-operators. It is currently offered as beta software.
Privacy, support, and account-deletion questions: support@lanedocket.com.
1. Who this is for
LaneDocket is a business tool. It is not directed at children, and we do not knowingly collect information from anyone under 18. If you believe a child created an account, email support@lanedocket.com and we will delete it.
2. Information you provide
Account. You can create an account with email and password, Google, or X. We store your name, email address, a profile image if the sign-in provider supplies one, and whether the email is marked verified. Passwords are stored as a one-way hash, not in plaintext. Google and X sign-in are handled through the Grok authentication broker; we do not receive your Google or X passwords.
Carrier profile. Information you enter in Settings, such as legal name, DBA, address, phone, billing email, MC and DOT numbers, remittance instructions, invoice prefix, optional logo, and optional factoring percentages. If you connect document storage, we also store the Vercel Blob access token you paste so the app can save files to your private store. That token is not shown back to the browser after you save it.
Freight documents. Files you upload — typically rate confirmations, bills of lading, proofs of delivery, lumper receipts, detention paperwork, scale tickets, and similar PDFs or photos. Uploads are limited to 10 MB per file.
Invoices, brokers, and payments. Load numbers, BOL and PO numbers, shipper/consignee names and addresses, dates, commodity, weight, rates, accessorials, broker company names, billing contacts, MC numbers, payment terms, notes, and payment records you type in (amount, date, method, check/ACH reference). Payments in LaneDocket are records you enter. We do not process broker bank transfers or card charges today.
Email drafts. When you prepare a broker message, we store the recipient, subject, and body you wrote, and we download a billing packet for you to attach. LaneDocket does not send that email. Your own mail app does, if you choose to send it.
New beta and trial accounts start with an empty desk. We do not add sample invoices, brokers, documents, or carrier records. You can fill in your own carrier profile in Settings.
3. Information collected automatically
When you sign in we may store session information, including IP address and browser user agent, in the session record. We use necessary cookies to keep you signed in (for example __Host-grok-auth.session_token and related session cookies). We do not use advertising cookies and we do not run ads.
The public website loads fonts from Google Fonts, which may receive your IP address when a page loads. Hosting logs typical of a web app (time, path, status) may be kept by our hosting provider.
If you use the FMCSA broker lookup, the MC, DOT, or name you type is sent to public U.S. Department of Transportation open-data servers to return authority information.
4. How we use information
- Create and secure your account, and keep you signed in.
- Show your carrier profile on invoices and remittance copy.
- Store, display, and attach the documents you upload.
- Extract load and billing fields from documents when you tap Read Documents.
- Count AI reads against your allowance (100 per billing cycle; founder accounts are uncapped).
- Generate invoices and billing-packet PDFs.
- Track invoice status, balances, and payments you record.
- Prepare email templates you can send from your own mail app.
- Operate, debug, and protect the service.
We do not sell customer documents or personal information. We do not use your freight files for advertising.
5. AI processing (xAI / Grok)
When you ask LaneDocket to read documents, the files in that batch are sent to xAI’s Grok models (currently grok-4.5) so we can extract printed fields. PDFs are uploaded to xAI’s Files API for that request; we then attempt to delete those xAI file records when processing finishes. Images are sent as part of the API request. xAI is a service provider. We do not control xAI’s own logs or backup practices.
We store a copy of the extracted fields (not the original file bytes) in an extract cache keyed to your account so repeating the same files does not use another AI read. If you delete an invoice, we remove cache rows that no longer match any remaining document on your account. Cache that still matches files on other invoices of yours is kept. Deleting the account removes the cache entirely.
You must review extracted information before you rely on it or send an invoice. Extraction can miss values or misread a page. See the Terms of Service and Beta Terms.
6. Where information is stored
- Documents in production: private Vercel Blob object storage. Files are not given permanent public URLs. Viewing uses short-lived, signed links that check that you own the file.
- Application data: a Postgres database (Neon in production), including accounts, carrier profile, invoices, brokers, payments, events, extract cache, and file metadata (name, type, size, hash, storage key). New file contents are not stored as base64 in the database. A carrier logo, if you upload one, is stored in the database as image data.
- Hosting / auth: the app is hosted on Vercel. Sign-in with Google or X uses the Grok authentication broker.
These providers process information only as needed to run LaneDocket. Preview and local environments may use temporary on-server disk instead of Blob.
7. How long we keep information
We keep account, invoice, and document data while your account is open, unless you delete a specific invoice, remove a saved broker, or delete the account.
Deleting an invoice removes that invoice, its payment records, related activity notes, attached files that are not still used by another invoice of yours, exclusive generated PDFs for that invoice, and extract-cache rows that no remaining document of yours uses. Files still needed by another invoice on the same account are kept.
Removing a saved broker takes it off your broker list so it is not used for new invoices. Historical invoices keep the broker name and billing details that were already on those records.
You can delete your account in Settings. You must type DELETE to confirm. That permanently removes this account and the data that belongs to it, including the user record, company profile (logo, remittance copy, Blob token, and AI-read usage counters), invoices and load details, payment records, activity notes, saved brokers, uploaded documents, generated PDFs, extract cache, document hashes, and private Blob (or local preview) files under your account prefix. Sessions and sign-in credentials for that account are closed. Other customers’ accounts are not touched.
Account deletion cannot be undone. We may retain limited records if we are required to (for example security logs or a dispute), and backups may take additional time to expire. After extraction we attempt to delete xAI file records from that request; we do not control xAI’s own logs or backups.

8. Sharing
We share information with the service providers listed above as needed to operate the product. We may disclose information if required by law, to protect LaneDocket or others, or in connection with a sale or transfer of the service, with notice where appropriate.
We do not sell your information and we do not share it for cross-context advertising.
9. Security
We use signed-in access controls, private object storage, hashed passwords, encrypted OAuth tokens at rest, and short-lived document view links. No internet service is perfectly secure. You are responsible for your password and for who can use your signed-in session.
10. Your choices
- Edit carrier profile and remittance copy in Settings.
- Delete individual invoices (and exclusive attached files) from the Invoices page.
- Remove a saved broker from your broker list without erasing historical invoices.
- Download invoice CSVs and billing-packet PDFs of records on your desk.
- Delete your account in Settings (type DELETE to confirm), or email support@lanedocket.com if you cannot sign in.
If you are a California resident, you may request access or deletion of personal information we hold about you by emailing support@lanedocket.com. Because we do not sell or share personal information for advertising, there is no “do not sell” opt-out to toggle.
11. Changes
We may update this policy. The date at the top will change. Material changes will be posted on this page. Continued use after an update means you accept the revised policy.
